Privacy Policy

Last Updated: August 21, 2026

Embrace Wellness Counseling Services, PLLC (“Embrace,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, submit an inquiry, subscribe to our newsletter, or otherwise interact with our online services.

This policy applies to information collected through our public website and related online communications. It does not replace our HIPAA Notice of Privacy Practices, informed consent documents, or other notices that apply when you become a client.

Website Information Is Not Therapy or Emergency Support

Our website provides general information and is not a substitute for therapy, medical care, diagnosis, treatment, or emergency services. Submitting a contact form, joining our mailing list, or sending us an email does not establish a therapist-client relationship.

Please do not use our general website forms, newsletter forms, or ordinary email to send detailed clinical information, medical records, Social Security numbers, payment information, or other highly sensitive information.

If you are experiencing an emergency or believe you may harm yourself or someone else, call 911, go to the nearest emergency room, or call or text 988 to reach the Suicide & Crisis Lifeline. Website submissions are not monitored continuously and should not be used for urgent or crisis communication.

Depending on how you use our website, we may collect:

  • Your name, email address, telephone number, and other contact information

  • Information included in an inquiry, consultation request, referral, employment application, internship inquiry, supervision inquiry, event registration, or other form

  • Newsletter subscription information and communication preferences

  • Professional information you voluntarily provide, such as credentials, résumé information, clinical interests, or referral details

  • Any other information you choose to provide

Please limit website inquiries to the minimum information necessary for us to contact you. Do not include detailed symptoms, diagnoses, treatment history, or other sensitive health information in a general website form.

Information Collected Automatically

  • When you visit our website, we and our website service providers may automatically collect limited technical information, including:

  • Internet Protocol address

  • Browser, device, and operating system information

  • Pages viewed, links clicked, referring pages, and approximate visit duration

  • General location derived from an IP address

  • Cookie identifiers and similar technical information

  • Information about website performance and visitor interactions

  • We may use this information to operate, secure, maintain, and improve our website. When required, nonessential cookies or similar technologies will be used only after you provide consent.

Cookies and Similar Technologies

Our website platform may use cookies and similar technologies necessary for website security, accessibility, navigation, forms, and performance. We may also use optional analytics tools to better understand website traffic and improve our content.

You may manage cookies through our website’s cookie banner, when available, or through your browser settings. Blocking certain cookies may affect how the website functions.

We do not knowingly permit advertising or analytics tools to collect protected health information from client portals, appointment-scheduling pages, intake forms, or authenticated client areas.

  • Determine whether our services may be appropriate

  • Connect prospective clients with a clinician or other resource

  • Process employment, internship, supervision, training, or partnership inquiries

  • Send newsletters or other requested communications

  • Operate, maintain, secure, and improve our website

We may use aggregated or de-identified information for administrative, analytical, and service-improvement purposes when it cannot reasonably be used to identify you.

How We Share Information

We may share information in the following circumstances:

Service Providers

We may provide information to vendors that assist with website hosting, form delivery, secure communication, email distribution, scheduling, analytics, cybersecurity, information technology, and professional services.

These providers may access information only as necessary to perform services for us and are expected to protect it appropriately.

At Your Direction

We may share information when you authorize us to do so or direct us to communicate with a particular person or organization.

Legal and Safety Requirements

We may disclose information when we reasonably believe it is required by law, court order, subpoena, licensing requirement, or professional obligation. We may also disclose information when necessary to protect someone’s safety, investigate misuse, prevent fraud, or respond to a security incident.

Business Changes

If Embrace undergoes an ownership transition, merger, reorganization, sale of assets, or similar business transaction, website information may be transferred as part of that transaction, subject to applicable confidentiality and legal requirements.

We do not sell personal information for money. We do not knowingly sell or share personal information for cross-context behavioral advertising.

Client Information, HIPAA, and SimplePractice

Information provided through a secure client portal, intake form, scheduling system, telehealth platform, billing system, or during the course of treatment may qualify as protected health information under HIPAA and other applicable laws.

That information is governed by our HIPAA Notice of Privacy Practices and applicable clinical documents—not solely by this Website Privacy Policy.

Our website may include links to SimplePractice or another secure service used for scheduling, forms, billing, telehealth, or client communication. Information submitted directly through those services is also governed by the service provider’s privacy and security terms.

Current clients should use the secure client portal or the communication method provided by their clinician for clinical and account-related matters. Ordinary email and text messaging may not be fully secure, and therapy is not provided through those channels.

Newsletter Communications

If you subscribe to our newsletter, we may use your name and email address to send practice updates, professional resources, community information, events, and related communications.

Our newsletter is provided for general informational purposes and does not constitute therapy or clinical advice.

You may unsubscribe at any time by selecting the unsubscribe link included in an email or by contacting us.

Data Retention

We retain website information only for as long as reasonably necessary to:

  • Respond to inquiries

  • Maintain appropriate business records

  • Resolve disputes

  • Enforce agreements

  • Fulfill legal, regulatory, insurance, and professional requirements

Retention periods may vary depending on the information collected and why it was collected. Client records are retained according to our clinical record-retention policies and applicable law.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

However, no website, email system, wireless transmission, or electronic storage system can be guaranteed to be completely secure.

If you believe sensitive information was submitted through an insecure channel or that your information may have been compromised, please contact us promptly.

Your Privacy Rights and Choices

Depending on where you live and which privacy laws apply, you may have the right to:

  • Request access to personal information we maintain about you

  • Request correction of inaccurate information

  • Request deletion of certain information

  • Request a portable copy of certain information

  • Withdraw consent when processing is based on consent

  • Opt out of certain uses, including targeted advertising, the sale of personal information, or certain profiling

We will not discriminate against you for exercising an applicable privacy right.

Some requests may be limited by legal, clinical, contractual, security, or record-retention obligations. We may need to verify your identity before completing a request.

If we deny your request and applicable law gives you the right to appeal, you may appeal by replying to our decision and stating that you wish to appeal.

Children’s Privacy

Our public website is intended for a general audience and is not directed toward children under 13. We do not knowingly collect personal information online directly from children under 13 without appropriate authorization from a parent or legal guardian.

Parents and guardians may contact us about services for a child but should avoid including detailed clinical information in a general website form.

Third-Party Links and Embedded Content

Our website may contain links to or display content from third-party websites, community organizations, social media platforms, maps, videos, scheduling services, and other resources.

We do not control the privacy, security, accessibility, or content practices of those third parties. Your interactions with a third-party service are governed by that service’s own terms and privacy policy.

Privacy Signals

Some browsers offer “Do Not Track” settings. Because there is not a universally accepted standard for responding to these signals, our website may not respond to them consistently.

When required by applicable law and supported by our website technology, we will recognize legally valid browser-based opt-out preference signals, such as Global Privacy Control.

Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our website, services, technology, vendors, or legal obligations.

When changes are made, we will revise the “Last Updated” date at the top of this page. Material changes may also be communicated through an additional website notice when appropriate.
